Student Clinical Onboarding Instructions
Phase 1 Rotation Request (Nursing Only)
Completed in myClinicalExchange (My Clinical Exchange: Welcome)
- Step 1.) School - Submits a request in myClinicalExchange for a clinical rotation or preceptorship
- Step 2.) Academics - Approves Request
- Step 3.) School - Checks the approved requests and makes note of any changes to the unit, day, shift time, etc.
- Step 4.) School - Uploads the myClinicalExchange student and faculty import rosters into myClinicalExchange. This will create paid student/faculty accounts in the system and attach each student and instructor to their approved rotations.
Phase 2 Access Request (ALL)
Onboarding/Badging
- Step 1.) School - Completes the AdventHealth Instructor_Student Access Request spreadsheet, Student Attestation (1 page), Contingent Worker Manual (pages 31-33), and Hand Hygiene Checklist for each student and instructor
- Step 2.) School - Emails the AdventHealth Instructor_Student Access Request spreadsheet, Attestation forms (1 page), and badging photos to the academics email inbox
- Step 3.) Academics - Once documentation has been approved, the school will receive an email from the Academics inbox with OPIDS for the clinical group. This information will also be sent to the Education Manager for the hospital that the clinical group will be attending. This will provide the hospital education team with an awareness of the student's arrival.
- Step 4.) Academics - Communication sent to HR Team for badge printing. Once the badges are printed, the New Hire Specialist Team (Central) will let you know when and where to pick up the badges. Students are cleared to begin clinical rotations.

*Please note, Access Requests must be submitted for processing a minimum of 3 weeks prior to clinical rotations, allowing time for our internal departments to complete regulatory reviews. Additionally, all forms must be maintained by the school and available to the hospital for regulatory audit, per the active academic affiliation agreement.
